SERVICE WRITER

Maxim Truck and Trailer is hiring a Service Coordinator at our Edmonton branch. Do you enjoy providing front line customer service to customers?   Do you have attention to detail to review and close repair orders while ensuring invoices are complete, accurate, and timely? If so, this position may be for you! This position ensures long-term customer relationships and profitable work for Maxim.

 

Hours: Monday to Friday 8:00am-5:00pm

 

Responsibilities

  • Processes internal and external service requests via multiple channels
  • Records all customer and vehicle details, repair categories, payment methods, and verifies warranty eligibility.
  • Conducts unit intake: reviews repair history, confirms customer details, performs quick checks, and collects signatures.
  • Documents customer complaints, identifies potential warranty issues, and communicates expected repair timelines.
  • Provides repair updates to customers at key points
  • Handles vehicle pick-up: verifies payment or credit, prepares invoices, logs job completion, explains work done, and releases vehicle.
  • Performs additional duties such as:
    • On-call support for emergency customer calls.
    • Shift change communication and credit coordination.
    • Customer notification for parts arrival and rescheduling within 21 days to avoid restocking fees.
    • Coordination of sublet work and record updates.
    • Communication with the Rental Department about rental unit repairs.
  • Reviews repair orders for complete and accurate details.
  • Ensures repair stories include complaint, cause, and correction, with required technician and supervisor verification.
  • Closes work orders by invoicing, reconciling accounts, and allocating unfinished work correctly.
  • Prepares estimates for customer-approved work and standardized pricing for fleet or tender orders.

 

Qualifications

  • 3+ years of experience in the medium/heavy duty truck (or related) industry in order to understand repair time length and how to manage work orders
  • Front line customer service experience
  • Invoicing experience with knowledge of debits/credits
  • Technical product knowledge is preferred
  • Knowledge of International (Navistar) warranty an asset
  • A team player with a strong commitment to the customer
  • Ability to build long-term relationships with customers and vendors
  • Possess strong listening, problem solving and decision making skills
  • Excellent fact finding and analytical skills
  • Strong aptitude for numbers, shows attention to detail
  • Basic computer experience: MS Word, Internet, email, keyboarding, data entry
  • Exposure to a central billing system; knowledge of Karmak preferred
  • Organized, sets and meets priorities
  • Flexibility to adapt to changing demands
